Privacy notice

Who looks after your information?

Gold Oak Digital is responsible for the personal information used to answer your enquiries and manage your project. Legal owner: Stephen Meredith, sole trader trading as Gold Oak Digital. Business correspondence address: The Grange, Berrington, Shrewsbury, SY5 6HB. Contact: 07735 929411 or info@goldoakdigital.co.uk.

What you share and how the form works

The enquiry form asks for your name, email address and the service you are interested in. You can optionally add your business name, phone number and project details. You can call instead. Please do not include passwords, payment-card details or sensitive personal information.

When you select “Submit enquiry”, the information you enter is sent directly to Gold Oak Digital through our website hosting and email service. The website does not intentionally keep a separate copy of the form submission in browser storage.

When you submit the form, we receive the information you entered in your enquiry. If you become a client, we also use the contact, billing and project information needed to provide your service.

Why we use it

We use enquiries to answer questions and prepare quotes. Where you are the prospective contracting customer, this is to take steps you request before a contract and then perform it. For contacts acting for an organisation, our lawful basis is our legitimate interest in responding to business enquiries and managing client relationships. We use records needed for tax and accounting to meet legal obligations, and relevant records for resolving disputes under our legitimate interest in protecting legal rights. An enquiry is not permission to add you to a marketing list.

Who handles it?

Our hosting, email and storage providers may handle information needed to operate our business; professional advisers may receive relevant records where necessary. We may disclose information when legally required.

How long we keep it

We generally delete unsuccessful enquiry records 12 months after the last meaningful contact unless an active dispute or legal requirement means they need to be kept longer. We keep client agreements and essential transaction records for up to six years after the relationship ends, subject to applicable tax requirements and any unresolved claim. Working copies and unnecessary project data are removed when they are no longer needed.

Your choices and rights

Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction or a portable copy. You can object to processing based on legitimate interests. If we rely on consent for a separate activity, you may withdraw it at any time without affecting earlier lawful use. Contact us using the details above; some requests are subject to legal exceptions. We do not use this enquiry form to make automated decisions with legal or similarly significant effects.

You can also complain to the Information Commissioner’s Office, the UK data protection regulator, or call 0303 123 1113.

Enquiry emails also include the page where you contacted us and any campaign labels present in that page’s address. We use these to understand which pages generate enquiries. They are not saved in browser storage.

Cookies and website visits

With your permission, we use Google Analytics to measure visits, pages viewed and actions such as enquiries and scanner use. Analytics stays off unless you accept it, and you can withdraw your choice through Analytics settings. Your choice is remembered in browser storage for 90 days. Analytics cookies may last up to 90 days. Our named conversion events do not include your contact details, message, scanned website address or scan references. We do not enable advertising cookies, Google Signals or personalised advertising in this setup. We do not save enquiry form answers in browser storage. Our hosting provider may keep technical access logs. The free website checker uses an essential session cookie and stores requested reports and optional preferences; see the checker privacy notice for its data, providers and retention.
